What started as a faster way for the product team to create feature guides quickly evolved into a broader system for onboarding, reporting, education, and internal enablement.

Turning reporting into something people actually use

Prior to Scribe, Crafty’s data team built powerful reporting tools but were experiencing a lag in internal adoption. As Crafty continued to scale across markets and teams, ensuring employees understood which reports to use, and how to use them, became increasingly difficult.

Without clear guidance, even well-designed reports went underutilized. Teams relied on back-and-forth communication with the data team to answer basic questions, slowing down decision-making and limiting the impact of analytics across the organization.

Documentation was possible, but never sustainable

Crafty experimented with different ways to document workflows and support internal learning. Cross-training, videos, and third-party tools helped in the short term, but each came with tradeoffs.

Creating guides required significant manual effort, from stitching together screenshots to recording full walkthroughs. Even when documentation was created, it quickly became outdated as tools and processes changed.

For the product team, this created a constant cycle. Every new feature launch required time not just to build, but to explain, pulling focus away from product development and slowing down internal adoption.

The team needed a way to create documentation that was both faster to produce and easier to maintain.

Building a system where knowledge is easy to access

Crafty adopted Scribe after testing the browser extension and immediately recognizing how much time it could save.

Instead of creating documentation after the fact, teams began capturing workflows as they worked. Guides were generated automatically, then lightly edited for clarity and shared with the broader team.

The data team took this a step further by organizing Scribes into role-based landing pages in Notion. Rather than expecting employees to search for the right resources, each page presented the most relevant reports for a given role, along with clear, step-by-step guidance on how to use them.

This shift made documentation more intuitive. Employees no longer had to figure out where to start; Scribe guided them.

Scaling product education across the organization

As adoption grew, Scribe became a core part of how Crafty supports product launches.

For each new feature, the product team creates Scribes that explain how the feature works, how it should be used, and how to troubleshoot common issues. These guides are shared across teams, ensuring that everyone, from sales to operations to finance, can quickly understand and apply new functionality.

This approach allows teams to stay aligned without requiring repeated walkthroughs or live training sessions. Knowledge is distributed once and reused across the organization.

Scribe has reshaped how Crafty captures and distributes knowledge across teams.

The data team has increased report adoption by making analytics easier to understand and use, extending the impact of data beyond experienced users. At the same time, the product team has streamlined its go-to-market process, significantly reducing the time required to create documentation for new feature launches, improving speed to adoption across the organization. Across the business, teams spend less time creating and maintaining guides and more time focusing on their core work. Documentation is no longer a bottleneck, it’s an enabler.

Most importantly, Crafty has made meaningful progress toward democratizing access to knowledge. Employees across roles can now learn systems faster, navigate tools more effectively, and contribute with greater independence.
